Secure Client Intake Portal

These Terms of Service (“Terms”) govern the use of the NY Notary Public Services Secure Client Intake Portal and related websites, forms, uploads, communications, and services.
By submitting information, uploading documents, or using this portal, you acknowledge and agree to these Terms.
1. Intake Submission Does Not Create a Service Agreement
Submission of an intake form does not:
- create a contract
- guarantee service availability
- guarantee acceptance of a project
- confirm pricing
- confirm turnaround times
- establish a client relationship
- obligate NY Notary Public Services to proceed with services
All requests are subject to review and approval.
2. Pricing and Turnaround Times
Pricing, timelines, availability, and service requirements may vary depending on:
- document type
- issuing jurisdiction
- government processing delays
- court requirements
- international legalization requirements
- shipping carrier performance
- incomplete submissions
- document eligibility
Estimated processing times are not guaranteed.
Government agencies, courts, Secretaries of State, embassies, consulates, shipping carriers, and third-party providers may experience delays outside our control.
3. Accuracy of Information
Clients are responsible for ensuring that all submitted information is accurate and complete.
NY Notary Public Services is not responsible for delays, rejections, additional fees, or processing issues resulting from:
- incorrect information
- incomplete submissions
- inaccurate spellings
- missing documentation
- incorrect shipping details
- improperly issued records
- outdated records
- client-uploaded document errors
4. Uploaded Documents
Clients may upload documents solely for purposes related to requested services.
Please do not upload:
- malicious files
- unrelated materials
- password-protected files unless requested
- banking information
- sensitive information not required for processing
We reserve the right to reject or remove uploaded materials at our discretion.
5. International Services
Certain projects may involve:
- international shipping
- apostille services
- authentication services
- embassy legalization
- translation services
- foreign government requirements
International document requirements may change without notice and may vary by country, embassy, consulate, or receiving authority.
Clients remain responsible for confirming the final requirements of the receiving jurisdiction when appropriate.
6. Shipping and Delivery
Shipping services may be provided through third-party carriers including, but not limited to:
- FedEx
- DHL
- UPS
- USPS
NY Notary Public Services is not responsible for:
- carrier delays
- customs delays
- lost packages
- weather disruptions
- delivery interruptions
- international import restrictions
- inaccurate recipient information provided by clients
Clients are encouraged to carefully review all shipping information before approval.
7. Right to Refuse Service
NY Notary Public Services reserves the right to refuse, decline, suspend, or cancel services at any time, including for:
- incomplete submissions
- suspected fraud
- abusive behavior
- inappropriate requests
- unsafe circumstances
- document eligibility issues
- legal or compliance concerns
- inability to verify identity
- nonpayment
8. No Legal Advice
Information provided through the portal, emails, phone calls, forms, messages, or communications does not constitute legal advice.
Clients should consult a licensed attorney regarding legal rights, obligations, immigration matters, international requirements, or document validity when appropriate.
9. Limitation of Liability
To the maximum extent permitted by law, NY Notary Public Services shall not be liable for:
- indirect damages
- incidental damages
- consequential damages
- lost profits
- missed deadlines
- government delays
- rejected filings
- third-party service interruptions
- shipping carrier issues
- embassy or consulate decisions
- authentication or apostille rejections
Services are provided on an “as available” basis.
10. Security and Portal Access
We implement reasonable security measures intended to protect submitted information and uploaded documents.
However, no online system or electronic transmission can be guaranteed completely secure.
Clients are responsible for maintaining the security of their own devices, internet connections, and email accounts.
11. File Retention
Uploaded documents and portal submissions may be temporarily retained for operational, legal, compliance, backup, or recordkeeping purposes.
Files submitted through the portal are generally scheduled for deletion approximately sixty (60) days after submission unless longer retention is required for active projects or legal obligations.
12. Intellectual Property
All portal branding, website materials, content, layouts, logos, graphics, workflows, and written materials remain the property of NY Notary Public Services unless otherwise stated.
Unauthorized reproduction or misuse is prohibited.
13. Governing Law
These Terms shall be governed by the laws of the State of New York and applicable United States law.
Any disputes arising from use of the portal or related services shall be subject to the jurisdiction of courts located in New York.
14. Changes to These Terms
NY Notary Public Services reserves the right to modify or update these Terms at any time without prior notice.
Updated versions may be posted through the portal or related websites.
